Hello and welcome! So you may be reading this as your employer has decided to use TimeKeeper for recording time and attendance. This article is to help give you a guide on how to do the things that you may require to accurately track your time and attendance! Once you add an employee to TimeKeeper, a user account will be created for them. You may want to give that user more access, so we allow you to change user roles via the employee profile section. For employees to interact with TimeKeeper, they first must be added. Luckily this is quite straightforward. TimeKeeper only requires a few Basic Details when adding a new employee: Their Name Email and/or Phone Number Working Pattern (their contracted hours and the days and hours they are expected to work e.g Monday - Friday 9am - 5pm) Basic Access e.g. can they access and clock in to TimeKeeper on mobile That's it, if you just want to aPopularArchiving / Managing Temporary Employees
For temporary employees, they may not require access to TimeKeeper all the time. Therefore it can be useful to stop their access for a period of time and then renew at a later period when they require. To pause the access of an employee for TimeKeeper, you can archive this employee. To renew the access of an employee for TimeKeeper, you can restore this employee. How do I archive an employee? In order to use Facial Recognition for an employee, they must have a picture set against their account. TimeKeeper will automatically set their profile picture based on the first clock in with a face detected. So you don't have to do anything for that but if you would like to change their profile photo follow the steps below. To do this is very straightforward, simply perform the following. Within TimeKeeper, you can enable rules to automatically deduct Day Breaks or Flexi Breaks depending on the hours your employee is clocked in for. However there are circumstances where on a certain day, an employee may work to a different time so some employee breaks might apply to only certain days. If you want to exclude an employee break from a certain day, just click the day to exclude under the 'Don't Apply Break on These Days' header as shown beFew readersInviting an Employee
Inviting an employee to set up an account Once you've created an employee's profile, we'll automatically send them an invite link via email (or text, if you've only entered a mobile number) asking them to create a password for their account. This invite email also includes their 4 digit pin for kiosk clock in. Setting an Employee's Manager TimeKeeper allows you to set the manager of an employee under the 'HR information' tab. Their direct manager will receive the leave requests for that employee that are to be approved or declined, and has the ability to view that employee's timesheets. Adding an Employee Document If you'd like to add a document to a specific Employee's profile (for example their contract) you can do so in their Employee profile by heading to the 'Documents' tab. Setting overtime rules The rules governing how an employee accrues overtime can be found in their 'Working Pattern' tab on their Employee Profile. The options for overtime settings include: Setting Intraday Overtime Rates - you can choose to set either: Intraday Time Blocks: pay different overtime rates depending on time of day (eg. pay 1.5x between 17:00pm and 20:00pm, and 2.0x from 20:00pm to 00:00AM) OR Intraday Hour Blocks: pay different overtime rates depending on hours woFew readersSetting Fire Marshals
You may need some employees to access a live report of who's clocked in on site, but don't wish to set them as a manager with access to timesheets or employee details. Setting an employee as a Fire Marshal will give them access to the live Who's In report, and the Roll Call report. Each employee can be assigned a Contract Type, which can then be used to filter your reporting. New contract types can be added under Configure Contract Type. Once configured, you can then select the Contract Type on the 'HR information' tab of an employee's profile. Each employee can be assigned into a team(s). Teams can be used to filter reporting, and limits can be set for how many team members can be on leave at one time. As an employee, before you can log in to the TimeKeeper app on your mobile, you will need to set a password for your account first. When your employer adds you to TimeKeeper, you'll receive an email or text which contains a link to set your password. Tap 'Set Up Your Password' and then set a secure password for your account (passwords must be no fewer than 12 characters, and cannot contain common words or phrases).
