Locations FAQs

Location FAQs

What is the purpose of a Location in the context of clock-ins?

Locations are used to identify which of your business' sites a clock-in is coming from.

How do I set up a tablet for multiple employees to clock in from?

When setting up a tablet for multiple employees to clock in, you'll be asked to select which Location your tablet device is at.

How does a Location get attached to clock-ins from a tablet?

All clock-ins made through that tablet will automatically have the selected Location name attached to them.

Can I set up a geoboundary around my location?

Yes, you can set up a geoboundary around your location.

How does a geoboundary affect mobile clock-ins?

If an employee clocks in on their phone inside a geoboundary, the Location name will appear in the clock-in Details instead of the GPS street address.

For example, based on the screenshot above, if I clock into the job “RKD Site” while within the green geoboundary, the Location name (Midlands Project) will appear in the Details section of my timesheet.

If I clock into “RKD Site” outside the geoboundary, my GPS coordinates will appear in the Details section instead.

Note: A job geofence restricts clock-ins to a specific radius around a job's site address, ensuring employees are on-site before clocking in. A location geoboundary, on the other hand, links mobile clock-ins to a location when they occur within a defined area, but doesn’t block clock-ins outside it. Use geofenced jobs to enforce physical presence, and location geoboundaries to group clock-ins by site in reports. Both can be set via the web portal under Jobs or Locations.

Does the geoboundary prevent mobile clock-ins outside the area?

No, the geoboundary will not block clock-ins outside the designated area.

What can I do if I want to block clock-ins outside a specific area?

To block clock-ins outside a specific area, you should set up geofenced Jobs instead. Geofenced Jobs are available on or TimeKeeper Pro plan. Learn more here.

Troubleshooting Locations

I'm unable to clock in from this location? Why can't I clock in from this Location?

  • The user who set up this kiosk has now been removed from the system. If so, employee pins won’t be recognised (kiosk will be stuck on keypad). They will need to log out the kiosk (or delete/reinstall the app) and set the kiosk up using a current admins details to resolve this.

  • The user who set this kiosk up was a manager, and does not manage the employee who’s attempting to clock in. To resolve, admins can switch on the ‘Enable all employees to clock in/out via manager kiosk’ setting under Account > Settings.

  • The tablet may have poor GPS signal. To resolve, admins can switch off the ‘Require GPS in kiosk mode’ setting under Account > Settings.

Can users use the Location to request leave, view their timesheet/job schedule/shifts, view their documents and make allowance requests?

Yes, users can access all of these features at the Location, depending on your system setup.

Under the Who's In report, why does my name appear under this location when I've clocked into a job that's linked to a different location?

If there’s a geoboundary set up for a location, the system uses your GPS to determine where you are. If you clock in while you’re inside that geoboundary, the Who’s In report may show you at that location - even if you selected a job that’s linked to a different physical location.

To prevent this, you can either adjust the geoboundary size or turn it off.
