What are clock in/clock out reminder notifications and how can I turn them on?

Clock in/clock out reminder notifications are alerts sent to employees when they forget to clock in or out. TimeKeeper sends both an email reminder and a push notification 15 minutes after the employee’s expected clock-in or clock-out time. You can turn these reminders on or off within your TimeKeeper settings, where you can manage both employee and manager notifications.




Does this setting apply to all staff?

Yes. When enabled, reminder notifications apply to all employees unless you manually disable them for specific individuals.


I don't want reminder notifications set for certain members of staff, can I turn it off for some team members?

Yes, you can disable these notifications for specific employees by going to their employee profile > Access & permissions tab > toggle on 'Skip clock in and clock out notifications for this employee' > Update Employee.





Do Manager notifications need to be on for employee notifications to work? Who receives these notifications?

Yes, for employees to be able to receive these reminder notifications, the 'Send Forgotten Clock In/Out Reminders to their Managers' setting must be toggled on. If there is a line manager configured in an employees profile (HR Information > 'Who is this employees line manager?'), the notifications will go to them. If there is no line manager configured in an employees profile, the notifications will go to the administrator.


What is the elapsed time period before a notification is sent out?

Approximately 15 minutes.


Can the time period from an employees start time vs when the notification is sent be adjusted?

Yes, this can be adjusted. We would need to receive this as an email request from the main administrator to support@timekeeper.co.uk


Can I set different elapsed time frames for different employees?

No, the same time frame will apply to all employees.


Does TimeKeeper have an automatic clock out function?

Yes, we have a very useful setting called Automatic Clock Out. This can either automatically clock out at the employee's expected finish time or their last clock in time. If enabled, TimeKeeper will only automatically clock out an employee if more than 6 hours have passed from their expected end time.


So this means that an employee can still work late and clock out if they require so. If they have forgotten, TimeKeeper will take care of automatically clocking them out and raising a discrepancy in the process.
