14. Setting employee leave entitlement
In the employee profile, there is a section to set the leave for an employee. This allows you to set up what leave this employee is entitled to, that is if you want to use TimeKeeper’s leave functionality.
This employee is entitled to 28 days, leave year starting from the 1st January and he can carry over a maximum of three days from one leave year to the next.
So this employee will have 28 days available to book on leave from the 1st of January 2022 to the 31st of December 2022.
We will go over Time in Lieu and Changing to Hourly Leave Entitlement in subsequent videos.
If an employee joins mid leave year, you can choose to pro-rate employees entitlement based on the Join Date entered in their profile. You will need to ensure the 'Pro-Rate Leave Entitlement in First Employment Leave Year' setting is on, under the main account settings.

Leave Entitlement for Shift Workers
There are a couple of options when managing leave for shift workers depending on your requirements. You can either:
- Choose their bookable leave days and set what a days leave equates to.

- Leave booked on a non-working/not bookable leave day will not be paid.
- Leave will always be at the preset hours you set 1 day equates to.
OR
- Select pay leave based on scheduled Rota Shifts, and have their leave pay determined by the rota.

- If scheduled to work, TimeKeeper will use the hours based in the rota. If the shift changes, so will the payable leave hours in timesheets.
- This settings relies on the rota being correct and up-to-date.
